About Pairing
What is Pairing?
Pairing is a scheduling and team-messaging app for Idaho CHIS DDAs. It keeps your schedule in one place: which BI (behavior interventionist) is in which session, who covers when someone calls out, time off, each BI's supervision for the month, and the messages that go with all of it.
Is Pairing available now?
Not yet. Pairing works in any web browser and the iPhone app is in testing, but no agency has gone live, and there's nothing to buy or sign up for today. If you'd like to see it, tell us about your agency.
Does Pairing replace our clinical records system?
No. Pairing handles the schedule and the team messages around it. Session notes and clinical records stay in the system you use now.
Does it work on phones?
Yes. Pairing works in the web browser on any computer or phone, Android included. The iPhone app is in testing and has no App Store listing yet. An Android app is coming soon.
What will it cost?
We haven't formally announced pricing. We're talking it through with our first Idaho agencies to find the model that fits DDAs best. Ask us and we'll walk you through it. The parent portal will be included at no extra cost.
Your data and HIPAA
No agency's client information is in Pairing today. These answers describe how Pairing is built and what we commit to before that changes.
Is Pairing HIPAA compliant?
Pairing is built to meet HIPAA's requirements. Nobody issues a HIPAA certificate to a software company. HIPAA sets obligations instead: signed agreements, limits on who can see what, encryption, and a record of activity. The answers on this page show where Pairing stands on each one.
Will you sign a Business Associate Agreement (BAA)?
Yes. A BAA is the contract HIPAA requires between your agency and any company that handles your client information for you. It sets out what that company may and may not do with the information. We sign a BAA with your agency before any of your client information goes into Pairing. No agency's data goes in without one.

You do. We use it only to provide the service to your agency.
Do you sell or share our data?
No. We never sell your data or use it for advertising or marketing, and we never combine it with another agency's data.
What counts as protected information in a scheduling app?
More than people expect. A child's name next to a session on a date is protected health information (PHI) on its own. That's why Pairing treats the whole app as protected, instead of a few fields. We wrote a longer guide: Is your therapy schedule protected health information?
How it's protected
Where will our data be stored?
In the United States, with Amazon Web Services (AWS), the cloud company that runs Pairing's servers. Amazon has signed a Business Associate Addendum, its version of a BAA, covering Pairing's account.
Is our data encrypted?
Encryption scrambles information so that only systems holding the right key can read it. Every connection to Pairing is encrypted today, so information moving between your screen and Pairing can't be read along the way. Before any agency goes live, your stored data and its backups will be encrypted too.

Access follows each person's role, so people see what their job needs and nothing more. BIs see their own sessions, supervisors see their team, and directors see the whole agency. Parents, if you turn their access on, see only their own child.

Our own admin tools don't show client records. The only way anyone outside your agency can reach your data is tightly limited technical maintenance, and that access is logged.
Do you keep a record of who did what?
Yes. Pairing records who created or changed a record and when, and it records attempts that were refused. Nobody can edit or delete those entries from within the app.
Built this way todayWhat happens if someone walks away from a signed-in screen?
Pairing signs people out after a period of inactivity, and every sign-in has a maximum length whatever the activity. Repeated wrong passwords lock the account for a while.
Does client information ever go out in an email or notification?
No. Pairing's notifications stay inside the app and only say that something needs your attention. The details appear after you sign in.

Yes. Before any agency goes live, your data will be backed up automatically, with backups encrypted and kept in the United States. We'll also practise restoring from those backups, so we know a restore works before anyone needs one.
A commitment for before any agency goes liveWhat happens if there's a security incident?
We'd contain it, find out what happened, and notify your agency without unreasonable delay, as HIPAA and our agreement with you require. We'd give you the details you need for any notices your agency has to send.
Has Pairing ever had a breach?
No client information has ever been exposed from Pairing.
Do you use real client data for testing?
No. We build and test with made-up children, staff and addresses, like the ones in the recordings on this website.
Do you have SOC 2 or an outside security audit?
Not yet. SOC 2 is a formal review of a company's security by an outside auditor. Today we test Pairing's protections by trying to break them ourselves, and we'll say so here if that changes.
Access, families and leaving
What happens when a staff member leaves our agency?
A manager deactivates them and their access ends. Their history stays, so your supervision and scheduling records still make sense.
Can parents use Pairing?
Your agency decides, and you can turn it on for each child. With parent access on, a parent sees their own child's sessions for the week, the name of the BI coming to each one, and the conversations they're part of. They see nothing about any other child. Your agency can switch it off at any time. The parent portal is included, optional, and costs nothing extra.
Can we get our data out, and what happens if we leave?
Yes. If your agency leaves Pairing, we'll give you a copy of your data on request and then delete ours, or return and destroy it as you direct.
What should we ask any scheduling vendor?
Whether they'll sign a BAA before your data goes in, where the data is stored, whether it's encrypted in storage as well as on the way, who at the vendor can see client records, how access ends when staff leave, and how you get your data back if you leave.
